The process depends on using a new telephone number (virtual number) which is routed first to the virtual phone system.
You have web based access to the phone system and you apply routing and call management controls. Here is the process in steps

- Assign extensions to people or departments and existing phones.
- Create a rules to route your calls
- Apply optional call screening allows you to accept a call or send to voice mail.
A virtual phone system gives big business phone feature to small businesses/home based businesses.
The system applies call management to existing telephones so that; for example, you can have a caller call the main telephone number and depending on how you have set up the call routing have the call forwarded to your mobile, an existing landline, an employees phone etc.
Some systems incorporate VOIP phones/extensions and you can route and place calls from these phones.
This is also known as a virtual PABX.
